An authorised restaurant administrator can use the POSMENTOR ChatGPT connection as an order-taking assistant. It can prepare a simple new table order or add standard products to an eligible existing order. The distinction matters: a second round of coffees should reach the intended open order.
This workflow needs an active restaurant administrator account, a valid restaurant licence with table service, and the relevant connection permissions. Start with the connection and access requirements. It is not an unattended guest-ordering service or access for every waiter login.
1. Find the restaurant, table and matching products
Use POSMENTOR to show the connected restaurant and currency, its rooms and tables, any current orders at Table 6, and the matching Americano and Cheese sandwich products. Do not change anything.
Check the restaurant and room as well as the table number. If two rooms have similarly named tables, resolve which one the customer is using. Match the exact menu items before preparing anything: a standard Americano and a meal deal containing coffee are different products.
The table list shows activity and current orders. It is not a reservation calendar or proof that seats are free. Check bookings and seating with the team. A missing balance is unknown, not evidence of an empty or settled bill.
2. Decide whether to open an order or add to one
| What you find | What to do |
|---|---|
| Active table with no current order | Prepare a new simple table order. Preparation checks the table again before returning a preview. |
| The intended open, unpaid order | Select that exact returned order and prepare additions. An unpaid balance alone does not establish eligibility; preparation also checks its payments, discounts and other state. |
| Several orders, an unclear match or a refused addition | Resolve the table or bill in POSMENTOR. Do not open a replacement order to get around an existing order or a failed check. |
An order with a payment already recorded, a discount, redeemed points or a coupon needs the POS workflow. So does an order with inconsistent totals or stock already consumed. These checks protect the existing bill when adding lines.
3. Prepare the request without saving it
For a new order at the intended table
Prepare two Americanos and one Cheese sandwich for Table 6 using the matched standard products. Show the preview before saving.
For an additional coffee on an existing order
Show the current order for Table 6. After we identify the exact order, prepare one additional Americano for that order. Show the preview before saving.
These are alternative situations, not two requests to run in sequence. For an addition, use the order reference returned for the selected table; do not invent one or rely on the table number alone.
The connection uses saved eat-in prices for supported standard products. It does not price the order from a number suggested in the conversation. Preparation returns a proposal; it does not create the order or send anything to the kitchen.
4. Check the exact preview
Read the preview as you would check an order before sending it:
- Restaurant and destination: the connected restaurant and selected table. Match the table to the room you checked earlier.
- Operation: opening a new order or adding to the exact existing order you selected.
- New lines: the matched products, quantities, saved unit prices and any supported preparation notes. For additions, distinguish these lines from food and drinks already ordered.
- Charges and totals: the added subtotal, service-charge percentage and amount, added total and resulting order total. Opening uses the restaurant’s configured service percentage; additions use the existing order’s saved percentage.
- Effect: saving an unpaid order and sending the new lines to the kitchen queue, with no payment taken.
Do not treat a missing price or charge as free. If a product, table, quantity or amount is wrong or unclear, leave the preview unapproved and request a corrected one. A changed order or menu may require a fresh preview.
5. Approve separately and check the saved order
Only after reviewing the exact preview, send a separate message approving it. For example: “Save the Table 6 order shown in that preview with those products, quantities and charges.” This is an example approval phrase for your own workflow, not permission to save the illustrative order in this guide.
Check the returned save result and order reference, then open that table and order in POSMENTOR. Verify the new lines and total. If you added a coffee, check the addition on the intended order rather than looking only for a new order.
Confirmed new lines enter the kitchen queue. Physical ticket printing depends on the connected POS and printer setup; check the kitchen’s actual display or ticket. The order remains unpaid. Take payment through POSMENTOR checkout.

6. If the save result is unclear, keep the original operation
A timeout does not prove that nothing was saved. Ask ChatGPT to retry the original confirmation and check the actual POS order. The retry must use the same confirmation reference; it should not prepare a replacement order or a second set of additions. Repeating that same confirmation returns its original saved result if it already completed.
If the preview has expired or current data has changed before saving, get a fresh preview, check it and approve separately again. If you cannot establish what happened to the original confirmation, resolve it in the POS before making another request.
7. Keep these requests in the POS
- Options, extras and bundles
- This connection’s table-order flow is for supported simple products. Use the POS for modifier choices, meal bundles, weighed products, shared or inherited catalogue items and account-specific product overrides. A note is not a substitute for a priced extra or a required option.
- Dietary and allergen questions
- Follow the venue’s normal staff checks and ingredient information. A preparation note does not establish that a dish is safe for an allergy.
- Payments and bill corrections
- Use POSMENTOR for payment, refunds, removing lines, moving tables and other bill corrections. Use the POS workflow when existing payments, discounts or redeemed rewards prevent additions.
- Kitchen follow-up
- Check that the team has the intended new lines. The connection does not make preparation decisions or guarantee that a physical printer produced a ticket.
For a demonstration, choose one existing table and a few standard items, then compare the preview with the saved POS order and kitchen entry. Discuss your normal service at the restaurant POS page. For other ChatGPT tasks, see products and price changes or sales reports and comparisons.
