The short answer
POSMENTOR software plans start at £39 per month. The right budget for your café also depends on the devices you need, compatible printers, card processing, setup services and any website or domain costs. A subscription price alone is not the complete cost of running a POS.
This guide uses POSMENTOR’s own published plans as a concrete example. It is not a market-wide price comparison, and it does not assume that hardware, payment processing or setup is free.
1. Start with the monthly software cost
The following prices and feature groups were checked against POSMENTOR’s public product-plan API on 21 October 2026. Confirm applicable VAT, venue and device limits and commercial terms before subscribing.
| Plan | Monthly software | What it adds for a café |
|---|---|---|
| Core | £39 | Table service, takeaway and delivery, kitchen and dispatch displays, reporting and reservations. |
| Restaurant | £49 | Core features, plus the business website and digital guest menu. |
| POS Pro | £59 | Restaurant features, plus inventory, recipes and customer QR loyalty. |
| Pro Enterprise | £69 | POS Pro features, plus branch management, campaigns and the aXi assistant. |

2. Check the costs outside the subscription
Devices and printers
List the equipment your team will use at the counter and in the kitchen. POSMENTOR runs in a web browser, while local printing uses Ax Bridge with compatible network ESC/POS printers. Existing equipment may be suitable, but compatibility needs checking before you budget on reusing it. Ask for a quote for any new devices or installation.
Card and online payments
Software access and payment processing are separate costs. Ask your payment provider about transaction charges, terminal purchase or rental, minimum fees and any contract commitments. Website checkout also depends on the configured payment gateway. This guide does not quote a universal card-processing rate.
Setup and switching systems
Account for menu preparation, product options, staff access and any training or data-transfer work you need. Confirm what the proposed setup service covers and what is charged separately. A café with a prepared menu and compatible equipment may have different needs from a new venue starting from scratch.
Website and domain
The business website and digital guest menu are included in Restaurant and higher plans. Customer websites run on POSMENTOR infrastructure, but confirm the commercial hosting terms for your agreement. A custom domain’s purchase and renewal costs are not a verified free inclusion. Online ordering settings and payment gateway costs also need checking.
3. Match the plan to your café’s workflow
Not sure which features matter? Follow our small café POS selection guide to build your demo checklist.
For a café focused on counter orders, table service and kitchen preparation, start by reviewing Core. If you also need a business website and QR menu, compare Restaurant. If ingredient tracking, recipe costs or member rewards matter to your operation, review POS Pro.
For example, tracking the milk and coffee beans in a latte requires configured recipes, ingredient units and prices. Buying the inventory feature does not populate that information automatically, and incomplete recipes cannot give a reliable full product cost.

4. Review what you already pay for separately
Before adding another software subscription, list the tools your café already uses: website, QR menu, online ordering, reservations, loyalty and stock control. Compare their capabilities with the features enabled in the POSMENTOR plan you are considering.
Some separate software subscriptions may become unnecessary when the required capability is included in your plan. Check the actual workflow, contract commitments and any migration work first. Included software does not remove third-party domain or payment-processing charges, and not every separate service will be replaceable for every café.

5. Build a budget before committing
Keep one-off costs and recurring costs in separate columns. Your starting budget is the software subscription, plus any recurring equipment, payment, domain and service charges that apply. Add initial equipment purchases and setup work separately; include VAT wherever applicable.

Bring this list to a demo so the team can discuss your café’s menu, equipment and service flow. That gives you a more useful comparison than choosing on the headline subscription alone.
